Description

Under general supervision, determines eligibility for client service programs, connects clients to referral resources, assist with updating and maintaining tenant records, and provides general administrative and clerical support for programs to ensure the efficient day to day operations of the Community Development, Housing Authority and Welfare Departments.

The does not constitute an employment agreement and is subject to change at any time by the employer. Essential duties and responsibilities may include, but are not limited to, the following:

  • Reviews applications and interviews applicants for eligibility and determines level of assistance.
  • Uses universal referral system to connect and refer clients to other resources.
  • Provides clerical and administrative support to the Department including but not limited to processing of mail, answering telephone, setting appointments, managing calendars, filing and file systems, word processing, data entry, minute taking and document distribution.
  • Provides Front Desk relief and serves as back-up to Department receptionist.
  • Monitors and maintains specialized information systems to track applicants, applications, and program and financial data.
  • Maintains appropriate and accurate records, documentation and files, including performing data entry into automated records systems, monitor and follow-up on due dates; prepare and maintain other documents associated with designated program area(s) and related reporting requirements.
  • Responds to telephone calls, messages and visitors by providing information and assistance, or referring inquiries to appropriate parties.
  • Prepares and sends outgoing correspondence.
  • Prepares maintenance work orders for office.
  • Provides input into the development of office policies and procedures as required.
  • Maintains confidentiality in accordance with required federal, state and local confidentiality and privacy laws.
  • Practices good customer service skills and techniques in the performance of duties.
  • Attends and participates in meetings, seminars, training workshops and conferences as required.

Qualifications

MINIMUM QUALIFICATIONS: Education, Experience and Training Guidelines: High school diploma or general education degree (GED); and at least one year of related office and social service experience; OR an equivalent combination of education, training and experience as determined by Human Resources. Knowledge of:

  • Office procedures, methods, and computer hardware and software and its applications.
  • Techniques of interviewing, and information gathering and record keeping practices.
  • English usage, spelling, grammar and punctuation.
  • Basic mathematical calculations.
Skill in:
  • Communicating effectively, both orally and in writing, including but not limited to comprising and drafting letters, memorandums and other correspondence.
  • Establishing and maintaining cooperative working relationships with managers, supervisors, employees, external public agencies, suppliers, program applicants and participants and the general public.
  • Making referrals to appropriate agencies and programs.
  • Handling multiple case assignments and working effectively with interruptions.
  • Using initiative, discretion and decision making within established procedures, guidelines and rules.
  • Maintaining strict confidentiality.
  • Working with various cultural and ethnic groups in a tactful and effective manner.
  • Defining problems, collecting data, establishing facts and drawing valid conclusions.
  • Performing basic mathematical calculations.
  • Providing effective customer service.
  • Operating a personal computer and various software applications.
LICENSE & CERTIFICATION REQUIREMENTS: Valid Texas Driver's License.

PHYSICAL DEMANDS AND WORKING ENVIRONMENT: Work is typically performed in an office work environment. May be required to lift and carry items weighing up to 25 pounds. Exposure to communicable diseases is possible. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
