Job Description:

This position supports the coordination and execution of UFLI Academy events as well as a wide array of other internal and external events and conferences.

The individual in this role will collaborate with UFLI faculty and staff to ensure successful event planning and logistics and the delivery of high-quality, well organized, and engaging events.

The ideal candidate is professional, detail-oriented, and adaptable, with excellent organizational and communication skills and a flexible schedule to accommodate a variety of event types and timelines.

Extensive travel may be required. This position is time-limited/soft-funded

Event Planning & Coordination

  • Support the planning and execution of UFLI Academies and other UFLI-hosted programs and special events (staff retreats, new-hire bootcamps, etc.).
  • Coordinate logistics - scheduling, vendor selection/coordination, and serve as venue point of contact.
  • Event experiences
    • Support the creation and lead execution of event look and feel/visual presentation.
    • Collaborate with UFLI and conference staff to ensure participants have a positive experience and prevent and troubleshoot potential issues.
  • Responsible for day of event coordination. Facilitate set-up and break-down of all event materials
  • Coordinate services for events, such as audio-visual equipment, catering, signage, displays, special needs requirements, and printing.
  • Participate in the analysis of feedback from attendees and stakeholders to determine event success, attendance metrics, and areas for improvement.

Public Outreach

  • Serve as an ambassador for UFLI, promote its programs and resources and enhance the overall visibility of UFLI.
  • Organize UFLI’s presence at professional conferences and other public outreach events.
  • Serve as point of contact for exhibitor personnel at the various conferences.
  • Arrange materials, displays and staffing for exhibitor booths and tables.
  • Arrange outbound and inbound shipping for materials and displays for exhibitor booths and tables.
  • Assist with the creation of promotional items, digital and physical marketing materials, and other collateral.
  • Support UFLI’s social media efforts.

Fiscal

  • Will be issued a P-card to purchase event-related materials
  • Responsible for verifying and reconciling P-card charges.  
  • Ensures all expenditures are in compliance with university guidelines
  • Works with UFLI’s finance team to plan and track event budgets and expenditures
  • other duties as assigned.

 

Expected Salary:

Salary commensurate with education and experience. 

Required Qualifications:A Bachelor’s degree; or a high school diploma and four years of appropriate experience. Appropriate college coursework may substitute at an equivalent rate for the required experience.

Preferred:

  • Degree in Hospitality or Event Management (or equivalent professional experience)
  • Proficient in Adobe Illustrator and Adobe Photoshop
  • Experience with social media management
  • Experience working in elementary school settings
  • Knowledge of UFLI Foundations
